Lastly, SPELL CHECK. Proofread the email. An email full of typos is a big red flag and could show care wasn’t put into the email. Spell the recipients name correctly.

Emails should have a call to action- what do you need the recipient to do? It’s a balance to make sure you’re not asking too much of the person. Maybe it’s reviewing the product brochure or asking them to reach out with any questions.

Have a well-formatted signature block. Have all contact and relevant info easily accessible to the recipient. This may be a link to your lab group or organization. Don’t make them search the internet for information and contact info for you.

Include action items. What do you need from the recipient and what are the next steps? Are you requesting a short call or a meeting at an upcoming conference? Get to the point quickly and use formatting to highlight the point or request.

Personalize the email. Do you have a personal connection to the recipient? Show your genuine interest in the person (this requires doing some research). You’re a human trying to connect with another human, so avoid sounding robotic.

Cold emailing is a GREAT strategy for networking because many work in a hybrid setting and folks may not attend meetings/ conferences in-person, but we all receive SO MANY EMAILS.

Be professional and persistent because there’s so much email overload these days. Following up is encouraged in case your email gets lost in the shuffle.
